
Travel Assistant
Provides direct support to team members for business travel arrangements by analyzing and making decisions for the most efficient and cost-effective means of business travel in accordance with the Travel Policy. Includes performing all related job functions that are created from these travel arrangements.
ESSENTIAL JOB FUNCTIONS
Responsible for booking company travel arrangements as outlined in the company’s travel policies and guidelines. Determine the most efficient and cost-effective means of business travel by researching and analyzing travel requests and making appropriate decisions for travel, meeting both time constraints and expense control guidelines. Work closely with department heads and executive committee members for guidance on out of policy situations.
Commercial airline flights for individual, and groups, and charter flights.
Hotel reservations.
Rental car reservations.
Communicate travel information in a clear and timely manner to team members and vendors.
Responsible for creating and maintaining profiles in the airline reservation system.
Accurate and timely entry into database and filing of travel reservations.
Support the department by booking large group travel for Distribution Operations, Store Install, Store Design, Motorsports, Real Estate, Human Resources, etc.
Researches and analyzes hotels in new markets for team member use.
Negotiate discounted rates.
Establishing a method of payment (i.e. CLC lodging, Control Pay, Direct Bill, etc.).
Adheres to Legal Department contracting process for all agreements.
Files contractual agreements in appropriate department files.
Order CLC cards for team members as requested by corporate management. Assists in maintaining the hotel list on TeamNet with current and accurate information.
All other duties as assigned.
SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIES
Required:
Advanced typing skills
Advanced spreadsheet, word, excel and database skills
Able to multi-task
Works with minimal direction, considerable internal and external contacts
Has excellent verbal and written communication skills
Customer service oriented
Organizational skills are a must. Uses time wisely, detail oriented.
Desired:
Advanced Sabre computer reservation system experience and continuing education in the travel industry related to applications for corporate travel
Knowledgeable in aviation software
